1.  GETTING STARTED

matX is an innovative e-commerce platform based on circular economic principles to keep resources in use and ideally where they provide optimum value.

We’ve designed matX easy to use and flexible, enabling matX work with government agencies, industries, small businesses and the public because sustainable practice is good for business!

Register as a matX user to:

 
  • create and/or join Exchanges
  • buy and sell
  • advertise on the Directory.

 To register:

 
  • read HOW IT WORKS, NICE TO KNOW, Terms and Conditions and the Privacy Policy pages
  • click Register button (top right)
  • fill in the basic information with tick confirmation that the Terms and Conditions have been read and understood
  • check your email to verify your account. The email should come through within 5 minutes, if not received, check your spam folder
  • Login.

Once logged in, you will land on MY HOME page.  MY HOME has further details on how to navigate matX.

Go to MY HOME, and then My Account (left menu) and complete personal details.

 


 2.  PUBLIC EXCHANGE

2.1  GENERAL INFORMATION

There is one Public Exchange.   You do not need to be registered to see all Listings currently available on the Public Exchange (just visit EXCHANGE, top menu).

Registration will enable you to:

 
  • post Listings to the Public Exchange
  • edit your Listings
  • receive alerts
  • purchase from the Public Exchange.

 

2.2  COST CENTRE

Navigate to your Cost Centre for Public and Private Exchanges by logging to MY HOME, then My Account (left menu). 

Input details for Buyer of your Listings (these are direct transactions between Seller and Buyer):

 
  • Listing payment options (i.e. direct debit, PayID, PayPal, cash)
  • how you would like Buyers to contact you
  • and choose either:
    • a simple purchase summary will to be emailed to your Buyer (default option)
    • or matX can generate a tax invoice on your behalf and email to your Buyer (ABN number required).

This is also where you enter details for matX Listing fees.

See Sections 5 and 6 below for information on how to create a listing, fees associated with posting a Listing and GST.

 


 3.   PRIVATE EXCHANGES

3.1 GENERAL INFORMATION

Private Exchanges are suited to small business who believe its beneficial for their businesses to collaborate (e.g. landscaping contractors, consortium of local farmers) and groups of individuals sharing a hobby (e.g. go carting enthusiasts, gardening enthusiasts, DIYers).

To create a new Private Exchange, go to MY HOME, then Exchanges (left menu).  Next to "Create New Exchange", select Exchange Type (Private Exchange) and give the new Private Exchange a name.

The new Exchange will appear in the "My Exchange" list on the same page.  Visit your new Exchange's Dashboard (click Dashboard) to:

 
  • administer the Exchange (e.g. add logo, rename the Exchange)
  • add Exchange Members
  • view current Listings 
  • view sale statistics
  • download a report of Exchange activity in excel format
  • see the full list of Exchange Members.

When you add Exchange Members, invitees will receive an email with both the names of the Private Exchange and who is inviting them to join.  By clicking "Join" they will become a member of the Exchange.  If an invitee is not already registered with matX, they will be prompted to register.

In Private Exchanges, each member regardless of whether they created the Exchange or were invited at a later point, have the same User Permissions.  Each member of a Private Exchange can:

 
  • add members
  • post Listings to the Private Exchange
  • edit their own Listings
  • receive alerts and see all Listings currently available in the Private Exchange
  • purchase from the Private Exchange
  • leave the Private Exchange at any time. 

 Other things to note:

 
  • once a Private Exchange has been created, it become its own entity, essentially jointly owned by all its members. Members can opt to leave the Exchange any time but (in the spirit of matX inclusion and collaboration) it is not possible for Members to remove one another.  The exception to this is members may be removed by the person who created the Exchange or matX administration
  • it is only possible to shut down a Private Exchange if you are the only or last remaining member (go to MY HOME,  then Exchanges (left menu) where you will have the option to Delete the Exchange)
  • Private Exchanges can be short-lived (e.g. to support a project) or go on indefinitely (e.g. to support a club or small business long term
  • only the members of that Private Exchange can see the Listings on that Exchange
  • matX allows you to create and be a member of multiple Private Exchanges.

3.2  COST CENTRE

The cost centre for Private Exchanges is the same as for the Public Exchange (refer to Section 2.2 above). 

 


4.   BUSINESS EXCHANGES

BUSINESS EXCHANGES ARE CURRENTLY BEING TRIALED.

PLEASE NOTE THAT THE PUBLIC EXCHANGE AND PRIVATE EXCHANCES ARE BOTH AVAILABLE NOW.  

 

4.1  OVERVIEW

Business Exchanges are suited to medium to very large businesses and/or as a collaboration across several organisations (e.g. project work sites, campuses, divisions, departments, consortium, alliances or industry).

To create a new Business Exchange, go to MY HOME, then Exchanges (left menu).  Next to "Create New Exchange", select Exchange Type (Business Exchange) and give the new Business Exchange a name.  You will be prompted for the matX order form details (see HOW IT WORKS for Types of Exchanges and contact support@matx.com.au).

The new Exchange will appear in the "My Exchange" list on the same page.  Visit your new Exchange's Dashboard (click Dashboard) to:

 
  • administer the Exchange (e.g. add logo, rename the Exchange)
  • add Exchange Members
  • change Exchange Member permissions
  • view current Listings 
  • view sale statistics
  • download a report of Exchange activity in excel format
  • see the full list of Exchange Members.

When you create a new Business Exchange, you are automatically be assigned the Exchange Owner, although this role can be easily be shared or fully transferred to another member of the Business Exchange after set-up. 

When you add Exchange Members, invitees will receive an email with both the names of the Business Exchange and who is inviting them to join.  By clicking "Join" they will become a member of the Exchange.  If an invitee is not already registered with matX, they will be prompted to register. 

All invited members will have General User Permissions, which can be easily changed by ticking or unticking the appropriate boxes on the Exchange Dashboard.  The User Permission Levels are:

 User Permission Level Permission allows members to:
General - this is the default level for all new members
  • visit the Exchange Dashboard (go to MY HOME, then Exchanges (left menu) and click on the Exchange Dashboard) to:
    • view current Listings
    • view sale statistics
    • download a report of Exchange activity in excel format
    • see the full list of Exchange Members and their respective status
    • see all Listings currently available in the Business Exchange and receive alerts.
  • draft a Listings. General members can initiate creating a new Listing for the Exchange by filling in the New Listing form and clicking the “Post Listing” button.  matX will notify their nominated Financial (or higher) member to review the listing and potentially post.  The listing will not appear on the Exchange until it is approved.  Read this in conjunction with Section 5.2 below
  • propose Buying a Listing.  General members can initiate buying a Listing from the Exchange by clicking the “Buy Listing” button.  matX will notify their nominated Financial (or higher) member to review the listing and potentially purchase.  The listing will be visible and available for other members to Buy until a member with the right level of permission purchases the listing.
Financial

In addition to General permission:

  • create Listings, Edit Listings and Post Listings, including Listings drafted by Exchange Members with General Permission
  • Buy Listings
Manager

In addition to Financial permission:

  • add Exchange Members
  • remove Exchange Members (all except Exchange Owners)
  • change User Permission Levels (all except Exchange Owners).
Owner

In addition to Manager permission:

  • can create a Business Exchange
  • administer the Exchange (i.e. add logo, rename the Exchange)
  • can shut down the Exchange, provided there are no Members or other Exchange Owners (go to MY HOME, then Exchanges (left menu) where you will have the option to Delete the Exchange).

Other things to note:

 
  • a Business Exchange must have an Exchange Owner, but this responsibility can be shared which is particularly useful when several organisations are members of one Business Exchange
  • the Exchange Owner and other permissions can be easily transferred to other member of the Business Exchange which is helpful especially when resources move
  • Members can opt to leave the Exchange any time and it is also possible for them to be removed by an Exchange Manager or Owner
  • Business Exchanges can be short-lived (e.g. to support a project) or go on indefinitely (e.g. to support a collaborative relationship or industry long term
  • only the members of that Business Exchange can see the Listings on that Exchange
  • matX allows you to create and be a member of multiple Private Exchanges.

 

4.2  COST CENTRE

Navigate to your Cost Centre Business Exchanges by logging to MY HOME, then Exchanges (left menu), go to the Business Exchange Dashboard and tick “Enable Cost Centre for this Business Exchange” found near the bottom of the page.

Cost centres for Business Exchanges are optional.  It could be a useful function on an Exchange to keep track of project, group or division sales through matX, or have no use if it is an Exchange for sharing across organisations (also refer to  Section 5.2 below).

Input details for Buyer of your Listings (these are direct transactions between Seller and Buyer):

 
  • Listing payment options (i.e. direct debit, PayID, PayPal, cash)

5.  NEW  LISTINGS

5.1  CREATE A NEW LISTING

There are a few ways to create a new Listing.   The main way is to log into your account, go to NEW LISTING (top menu).  When creating a listing:

 
  • complete all fields including drop down menus and free text
  • it is recommended to upload one main and up to 3 additional photos
  • as needed upload up to 3 relevant condition, classification or calibration documents that will be available for viewing by potential buyers on the Exchange
  • Listings can be sold in part (i.e. Lots). Selling in Lots will mean there can be multiple Buyers, potentially from different Exchanges.   The default number of Lots is 1 (one)
  • by ticking the box for "If this Listing is not sold, material will go to landfill", the volume sold will be added to "Total volume diverted from landfill" on the first Exchange Dashboard
  • add the first Exchange under Listing Visibility, then add any additional Exchanges in sequence using the + (plus) button
  • Listings can be posted on one Exchange or set to cascade through any combination of Public, Private and Business Exchanges
  • when listing on the Public Exchange, select from Auction, Fixed Price or Make an Offer Listing Types
  • when listing on Private or Business Exchanges, the Listing Types have been simplified to Fixed Price
  • enter the price per Lot. Price x number of Lots = Total Price
  • if you are looking to create a new listing for a Business Exchange but only have General Permissions refer to Section 4 above.

It might be more efficient to create a New Listing by duplicating and editing a current or previous Listings.  Go to MY HOME, then Listings (left menu).  When creating a New Listing by duplicating and editing a previous Listing, it is best to delete all existing Exchanges using the - (minus) button, then add Exchanges in sequence using the + (plus) button.

5.2  IMPORTANCE OF THE FIRST EXCHANGE

A Listing’s first Exchange where there is an Exchange cascade is significant because:

 
  •  fees for listing onto Exchange and any subsequent (cascaded) Exchanges will be paid by the account associated with the first Exchange the Listing is posted on. Note that posting fees are not applicable where the first Exchange is a Business Exchange
  • details from a sale are only attributed to one Dashboard (i.e. the first Exchange’s Dashboard) to avoid double counting. It is useful to think of the first Exchange as the "cost centre" for that Listing
  •  it is possible for General Members of a Business Exchange to bypass Financial approval and Post a Listing on that Business Exchange if the Business Exchange is not the first Exchange.

 

 5.3  FEES FOR POSTING, EDITING AND RE-POSTING A LISTING

There is no Listing Fee where a Business Exchange is the only or first Exchange.  This is because listing fees, active SMS marketing and user support are all covered under a Subscription Fee, making it simple for big business.

There will be a nominal “pay as you go” fee for posting a Listing onto the Public Exchange or any Private Exchange.  The fee will balance user expectations with covering active SMS marketing and user support.  The fee is currently $FREE.  matX does not take a percentage out of the sale of goods and materials (these transactions are direct between Seller and Buyer).

There will be a fee associated with editing a live Listing if there are changes to the type or number of Exchange cascades and/or Listing periods are extended.  There is no fee associated with editing live Listing specifics (e.g. photos or description).   It is not possible to edit a live Listing while a Public Auction is underway. 

As per the Rules for Selling (see HOW IT WORKS), the Seller does not have to accept a Buyer’s offer, even if it is the highest bid.  In this instance the Seller can repost the identical Listing for free.

 


6.  OPTIONAL GST INVOICING

By selecting the tax invoice option, matX will generate a standard GST on behalf of your business. 

GST IS INCLUSIVE OF THE TOTAL PRICE.

 


 7.  CONFIGURE EMAIL AND SMS ALERTS

Listings may only appear on any Exchange for a short duration.  If you are interested when a new Listing appears on one of your Exchanges or looking for specific goods or materials, we encourage you to configure your Alerts.

Configuring Alerts is easy.  Log into your account, go to MY HOME , then Alerts (left menu), and select your Alert preferences including any specific goods and materials categories. 

Alerts are great but avoid "alert fatigue" by only setting the Alerts needed!   You can revisit Alerts at any time to tweak your preferences.

 


8.  SAVE MATX TO YOUR SMART PHONE

The matX app is coming soon.  In the interim, save the website to your phone screen for easy access.

  Apple iPhone (iOS only)
  • from your phones internet browser go to the matx.com.au and tap on Share Menu button at the bottom of the screen.
  • then scroll across and tap the Add to Home Screen button and tap Done
  • the shortcut to matX will appear on your screen.
  Android phone
  • from your phones internet browser go to the matx.com.au page and tap on the Menu button
  • tap on the Add to Home Screen button
  • the shortcut to matX will appear on your screen.

 


9.  BUGS AND FURTHER DEVELOPMENT

9.1   BUGS

Even with extensive testing, new users will inevitably find new and innovative ways to challenge the software.  

Bear with us during the early days and please report any bugs to support@matx.com.au.  Report a significant, previously unknown bug and we'll reward you with  matX merchandise.

9.2   FURTHER DEVELOPMENT

matX is new and will continue to develop and improve to enable the reuse and recycling of goods and materials to be as efficient and effective as possible.  To this end, we are already planning the next wave of developments, including user star ratings and reviews, request to join exchanges and the matX app.  We’re also working with sustainability subject matter experts to develop the Exchange Dashboard.
